Staff Human Resources Campus Memo

February 26, 2010

Re:  March 4th Activities

In conjunction with a nationwide movement resulting from continued cuts to public education, our campus is expecting a day of activity and demonstrations to occur on Thursday, March 4, 2010. As noted in a recent message from Chancellor Blumenthal and EVC Kliger it is anticipated that the campus will remain open that day so that students can attend class and employees will be able to access their workplace. 

While employees are expected to come to work that day, there is the possibility that access to the main campus may be impeded. In order to help you plan ahead we offer the following guidance for March 4th:

  • Please instruct your employees to check campus accessibility before they leave home to come to work. Information will be posted on a special web site (http://www.ucsc.edu/news_events/protest/03-10/), recorded on the campus’s communication hotline (459-INFO), and provided to KZSC Radio (88.1 FM) for broadcast. If access to the campus is not possible, further instructions to employees will be posted via these channels.

  • In order to minimize the number of people attempting to access the campus, requests to work from home or arrangement of alternate work sites may be considered and approved based on operational needs. We encourage you to be as flexible as possible in approving these requests.

  • Managers and supervisors may approve advance requests to schedule vacation, furlough days (if applicable) or comp time off according to policy and normal unit/division practice.

  • Requests for usage of sick leave should be handled as it is customarily administered within your unit/division. For example, if it is your normal practice to require a doctor’s note from an employee who calls in sick, then you may do so on this day. However, if you do not normally require a doctor’s note when an employee calls in sick, then you may not change your practice on this day.

  • If the campus is accessible and an employee is absent without advance approval to use vacation, furlough, or comp time, and has not called in sick – then the day should be recorded as an unapproved absence and their pay will be adjusted accordingly.

  • Employee attendance will be reported as normal via CruzPay or other time reporting practices. We will not be asking supervisors or units to provide additional reporting of absences or cancelled classes on that day.

  • Administrative leave with pay may be requested for those employees who are unable to access their workplace for the hours when the campus is officially determined as inaccessible. More information regarding administrative leave will be forthcoming.

Please be assured the campus is planning for the day’s activities and will provide specific communication as the day unfolds. Undoubtedly this will be a dynamic situation, and there will be questions and issues that we have not been able to anticipate. Please direct any further questions to your SHR Partner or your Divisional Academic Personnel Coordinator.
