HR Service Team Representative (HRSTR) Procedure

Procedure Overview

The purpose of the Federal Family and Medical Leave Act (FMLA) is to allow employees to balance their work and family life by taking reasonable unpaid leave for medical reasons, for the birth or adoption of a child, and for the care of a child, spouse, domestic partner (same or opposite sex), or parent who has a serious health condition.

An employee must be notified of his/her eligibility for Family and Medical Leave (FML) prior to the first day of leave or within two (2) business days of the employee’s notice of need for leave, whichever is later. In accordance with FMLA regulations, failure to advise the employee of his/her eligibility within this timeframe will result in the employee being deemed eligible for the leave.

This procedure ensures that leave policies are applied on a consistent basis, and to ensure compliance with Federal and State Family and Medical Leave regulations.

It is critical that leaves of absences are processed in a timely manner to avoid problems with retirement savings program distributions, overpayments, benefits, and other deductions.

An employee must complete a Leave of Absence Request form for any leave of absence in excess of one workweek; excluding paid vacation.
