Funding Tab Data: Cost Center Requirements
Effective August 1, 2011, a Cost Center code (a data element within the Full Accounting Unit (FAU) used on payroll distributions) must be provided along with funding information for all new Recruitment Management System (RMS) requests (recruitment or job offer). The inclusion of the Cost Center code in RMS is necessary to ensure accurate payroll processing for individuals hired through the system. This change coincides with the implementation of the PPS Online Payroll Time Reporting System (a.k.a. OPTRS Rosters).
The Cost Center code values used by Staff Human Resources are based upon the level-four org code associated with the payroll distribution funding for the action. Division or unit personnel (e.g., budget analyst, research accountant) who normally provide funding information can assist with the identification of cost center codes.
For detailed information about the Cost Center requirement, and instructions on how to determine the Cost Center code value for non-academic staff and student employee actions, please follow the link below: http://shr.ucsc.edu/announce/cost_center/index.htm
RMS User Impacts
- The Divisional Approver (DA) is expected to ensure that cost center data entered on the funding tab within a request (recruitment or job offer) is accurate and to add the correct cost center value(s) when missing. Instructions on how to view/edit/add funding data are outlined in the RMS Divisional Approver User Guide.
- The Certified Hiring Manager (CHM) is expected to ensure that cost center data is included when reviewing or entering information on the funding tab within a request (recruitment or job offer). Instructions on how to view/edit/add funding data are outlined in the RMS Certified Hiring Manager User Guide.
- The Recruitment Specialist (RS) is expected to ensure that data has been entered in the cost center field of the job offer request before the record reaches a status of “Approved to Hire”.
- The Human Resources Partner (HRP) is expected to ensure that data has been entered in the cost center field of the job offer request before it is submitted to the Employment office for processing.
- Classification Analysts and Guest Users are not impacted by these changes.
Non-RMS User Impacts
Individuals completing an RMS worksheet are expected to provide cost center data in conjunction with other relevant funding information needed to process the request.
