| How Long Does the Classification Process
Take?
Processing time begins when Compensation receives a complete Classification Review Package and it receives a log number. The Compensation Analyst will strive to make the classification decision as quickly as possible while allowing for careful consideration. Our goal is to complete the process within 45 calendar days from the date that Compensation receives the complete package.
Incomplete packages will not be logged in but rather returned to the Department for completion, and will be logged in when received with all the correct documentation. Divisions/departments should be prepared to provide any additional information the Compensation Analyst may require in order to make an informed decision.
It is important to anticipate the time necessary to prepare the proper documentation prior to formal submission of the package. An employee and supervisor will work together to revise the Job Description and complete the Classification Review Questionnaire. The HR Service Team will then review the Job Description for appropriateness and completeness, as well as determine if the position should be considered a “Critical Position” prior to the department sending the completed review package, per your divisional protocol, to Compensation. This is all considered preparation time rather than review time.
When the Compensation Analyst has finished the classification review process, informed the department, and received an appropriate salary request back from the department, the completed EAR form is sent to the HR Service Team representative, who will enter the changes into the Payroll/Personnel System (PPS).
The effective date of a reclassification is the first day of the month following receipt of a completed Classification Review Package in the Compensation office. The process of noticing the union, if the position is to move out of the bargaining unit, does not change the effective date.
When a position that is exclusively represented by a union is reclassified to a title outside of its current bargaining unit, a notice to the union is required. The notice period is a specified period of time (generally 30 days) that the union has negotiated in order to review the proposed reclassification. If the action is approved by the union, the EAR form is forwarded to the HR Service Team for implementation. If the union denies the reclassification out of the unit, you will be contacted by your SHR Service Team regarding next steps.
