Recruitment Management System (RMS) Resources

Request Types

Recruitment

NOTE: One of the five request types below should be used to initiate an Open or Campus Only Recruitment which are competitive processes that seek a broad pool of qualified, diverse applicants to fill temporary (limited or BYA), partial year career, career, and/or contract appointments. [Also seeRecruitmentprocedure]

Establish New Position to Fill

  • Newly created position within a division, department or sub-unit.
  • No incumbent exists.
  • Typically the result of new funding or assignment of new work.
  • Request cycles through complete RMS workflow including Classification Analyst review.

Straight Replacement

  • Position previously or currently held by another staff employee.
  • The position was filled previously using RMS.
  • An existing RMS position description (PD) is used to begin the request.
  • No changes are allowed to areas of the RMS PD that might result in a classification change. Thus, this request type skips the Classification Analyst review in the RMS workflow.

Straight Replacement - Not Yet in RMS

  • Position previously or currently held by another staff employee.
  • No changes have been made to incumbent's job description.
  • Position has never been filled using RMS.
  • Request cycles through complete RMS workflow including Classification Analyst review.

Update to Fill

  • Position previously or currently held by another staff employee.
  • The position was filled previously using RMS.
  • An existing RMS position description (PD) is used to begin the request.
  • • Some changes will be made to the RMS position description that might result in a classification change. Thus, this request type cycles through the full RMS workflow including Classification Analyst Review.

Update to Fill - Not Yet in RMS

  • Position previously or currently held by another staff employee.
  • Some changes have been made to incumbent's job description.
  • Position has never been filled using RMS.
  • Request cycles through complete RMS workflow including Classification Analyst review.

Non-Recruitment

  • Used to fill temporary (limited or BYA) staff vacancies only.
  • Hiring Manager identifies the candidate for hire in lieu of the position being posted and advertised.
  • Request cycles through complete RMS workflow including Classification Analyst Review.

Waiver of Recruitment

  • Used in extraordinary circumstances to fill career and contract appointments, as well as, temporary appointments expected to exceed 1000 hours in 12 months.
  • Hiring Manager identifies the candidate for hire in lieu of the position being posted and advertised.
  • Request cycles through complete RMS workflow including Classification Analyst Review.
