Contract Appointment

I. Summary

A contract appointment is a position established at a fixed or variable percentage of time for up to four (4) years in duration.

All terms and conditions of employment are clearly specified in a written employment contract between the University and the appointee.

Contract appointments are limited to Managers and Senior Professionals (MSP) and Professional and Support Staff (PSS) positions and should be hired via an open recruitment, campus-only recruitment or a waiver of recruitment. Contract appointments may not be filled via non-recruitment.

A contract appointment is not to be used in lieu of a career indefinite appointment.

The Unit Head is delegated the authority to recruit, select and hire contract employees.

IV. Process Overview

Contract Appointment Hire

Hiring Manager (HM) determines the appropriateness of hiring an individual in a contract position in consultation with their Talent Acquisition Consultant (TAC).
  1. HM in consultation with their TAC, drafts a written Employment Agreement, ie. contract, prior to the job offer.
  2. Unit Head signs the contract prior to the job offer.
  3. TAC makes a job offer to the selected candidate and ensures all required signatures are obtained on the contract.

Extension of Contract Appointment

  1. Operations notifies ER Analyst of approaching contract end date.
  2. ER Analyst reviews contract history, and informs the unit of approaching end date, and, if appropriate, option for extension. 
  3. In consultation with ER Analyst, HM updates and submits a new contract agreement to extend the contract appointment to ER Analyst and Operations.
Upon receipt and ER concurrence, Operations processes the contract extension.
