UCSC Work Authorization Re-Verification Process

Work Authorization Re-Verification Process (this is the process for you if you are a staff employee who provided documentation showing authorization to work in the U.S., which is going to expire, so that you are providing new work authorization documentation). You will receive multiple reminder notices from our office and work with us to provide the necessary documentation to re-verify your work authorization.


The Employment Re-Verification Help Desk in Staff Human Resources sends a notice to you and your supervisor informing you that your work authorization will soon expire. That notice directs you to reply to that email with any Receipt Notices (such as Form I-797C) that you receive from USCIS acknowledging your work authorization renewal application as soon as you receive them.

Send an original (not a photocopy) of the new work authorization documentation through a secure Virtru link which we provide to you.

Once we receive the new work authorization documentation, we are ready to re-verify your work authorization. We can do so in one of two ways.

OPTION 1: In-person verification with Staff HR: Under one option, we can re-verify your work authorization in person. If you choose this option, you come to the Staff Human Resources office in Scotts Valley. When doing so, you need to bring the original (not a photocopy) of the work authorization documentation that you provided through the Virtru link. Staff Human Resources re-verifies your work authorization documentation in person, which concludes the re-verification process.

OPTION 2: Authorized Representative: Under a second option, rather than coming to the Staff Human Resources office in Scotts Valley, your work authorization can be re-verified by an Authorized Representative (AR). If you choose this option, we have our online compliance tracking system, called “Tracker,” send an email to the AR. Then you must present in person to the AR the same required document(s) that you already have uploaded to the Virtru link. The AR examines your work authorization documentation while you are physically present, and at that point the AR enters the information from your work authorization documentation into Tracker. Then in Staff Human Resources, we review the work authorization documentation that you submitted through Virtru, and compare it with what has been entered by the AR into Tracker. Then we send an email informing you that your work authorization has been re-verified; alternatively, we send an email informing you if there is a problem, such as if information was incorrectly entered; if that is the case, you must meet in person again with the AR with your work authorization documentation while the AR correctly enters the information into Tracker. If the information has been correctly entered into Tracker, we confirm that it was correctly entered into Tracker, which concludes the re-verification process.
